Manages projects independently and contributes to committee and teamwork.
Reads and analyzes incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
Conducts independent research, compiles data, and prepares papers for consideration and presentation by directors, executives, and committees.
Reviews operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
Advanced Secretarial Responsibilities
May prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
Determines whether visitors should be given access to specific individuals.
Arranges conferences, meetings, and travel reservations for executives.
Prepares agendas and makes arrangement for committee, board, and other meetings.
File and retrieve corporate documents, records, and reports.
Interpret administrative and operating policies and procedures for employees.
Sets-up and oversees administrative policies and procedures.
Coordinates and directs office services, such as records and budget preparation, personnel, and housekeeping, in order to aid executives.
Meets with individuals and groups on behalf of executives, committees and board of directors.
Miscellaneous Responsibilities
Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals.
Completes forms in accordance with SSFHS WIR procedures.
Compose, type, and distribute meeting notes, routine correspondence, and reports.
Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.
Maintains scheduling and event calendars.
Makes copies of correspondence and other printed materials.
Open, reads, routes, and distributes incoming mail and other material, and prepares answers to routine letters.
Operates office equipment such as fax machines, copiers, and phone systems, and uses computers for spreadsheet, word processing, database management, and/or other applications.
St. Clare Medical Center – These duties are specific to St. Clare Medical Center essential duties.
Prepares and maintains physician orders/forms.
Types, reviews and maintains policies.
Maintains committee minutes
| | Qualifications: | Knowledge of business and management principles involved in strategic planning, resource allocation, and coordination of people and resources.
Advanced knowledge of office systems and applications such as Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
Knowledge of administrative and clerical procedures, managing files and records, designing forms, and other office procedures and terminology.
Knowledge of the English language including the meaning and spelling of words, rules of composition, and grammar.
Knowledge of principles and processes for providing customer and personal services.
Ability and willingness to learn and operate new office technologies as they are developed and implemented.
Above average communication skills, including verbal, written and presentation capabilities to establish and maintain effective working relationships with employees, patients, business associates and the public.
Minimum Position Qualifications
High School diploma or equivalent
Minimum 3 years experience in a high level administrative assistant role
